Position Summary

arenaflex is seeking a meticulous and proactive Remote Data Entry Clerk to join our Human Resources and Accounting teams. In this dual‑focused role, you will be responsible for accurately entering payroll data, maintaining employee records, and supporting invoicing processes in NetSuite. Your work will directly impact the efficiency of our payroll operations and the financial health of our organization, ensuring that both staff and families receive the reliable support they deserve.

Key Responsibilities

Human Resources – Payroll & Timekeeping

  • Review daily timecards for completeness and accuracy, adding missing punches or correcting errors as needed.
  • Validate and update time‑off balances, ensuring that vacation, sick leave, and other accruals reflect current policies.
  • Apply arenaflex holidays in accordance with the arenaflex Policy, guaranteeing consistent pay practices.
  • Enter and maintain employee profile data, including new hires, terminations, and role changes.
  • Collaborate with the HR Manager to address compliance requirements and respond to ad‑hoc data‑related requests.
  • Maintain confidentiality of all employee information, adhering to HIPAA and GDPR standards where applicable.

Accounting – Invoicing & Financial Data Management

  • Accurately input student invoices into NetSuite, ensuring that billing cycles align with service delivery dates.
  • Enter therapist invoices, reconciling hours worked with contracted rates and verifying supporting documentation.
  • Assist with additional data‑entry projects, such as expense tracking, vendor master file updates, and month‑end reconciliations.
  • Identify and flag inconsistencies or duplicate entries, working with senior accountants to resolve discrepancies.
  • Support the preparation of financial reports by providing clean, well‑organized data sets.

Essential Qualifications

  • Experience: Minimum of 2 years proven experience as a data entry clerk or in a comparable role, preferably within HR or accounting environments.
  • Education: Associate degree in Business, Accounting, or a related field.
  • Technical Skills: Proficiency with Microsoft Office Suite (Excel, Word, Outlook) and demonstrated ability to type at least 60 WPM with high accuracy.
  • Payroll Systems: Hands‑on experience with ADP Payroll is required; familiarity with NetSuite is highly preferred.
  • Language Proficiency: Fluent in both English and Spanish, enabling effective communication with a diverse staff and client base.
  • Attention to Detail: Ability to spot errors, maintain data integrity, and follow strict confidentiality protocols.
