Role Overview

This full‑time, remote position (40 hours per week) operates within arenaflex’s Family Engagement Center. You will work Monday‑Friday, 9:45 am – 6:15 pm CST, with occasional overtime as business needs dictate. The role includes an 18‑week paid training program, during which you will transition from an 8 am – 4:30 pm CST schedule to the full‑time hours in the final four weeks. All telecommuters must adhere to arenaflex’s Telecommuter Policy and maintain a secure, private workspace.

Key Responsibilities

Member & Family Support

  • Provide end‑to‑end resolution for members with special needs, acting as the primary point of contact throughout their health‑care journey.
  • Deliver compassionate, empathetic assistance via phone, email, chat, and text, ensuring each interaction leaves a memorable, positive impression.
  • Build and nurture ongoing relationships with members, their families, and internal teammates to foster trust and continuity of care.
  • Anticipate member needs, proactively identify internal and external resources, and add unexpected value that exceeds expectations.
  • Maintain accurate family counts and documentation on arenaflex’s platforms, ensuring data integrity and compliance.

Problem Solving & Decision Making

  • Independently assess complex benefit, claim, billing, prior authorization, and appeal issues, using sound judgment and critical thinking.
  • Develop creative solutions, prioritize tasks, and manage time effectively to meet established objectives for each family.
  • Coordinate outreach calls to members referred by executives, partners, or community programs, initiating contact and establishing rapport.
  • Determine appropriate referrals to additional arenaflex programs or external services, guiding members toward the right resources.
  • Consistently achieve high post‑contact survey scores and positive member feedback by delivering exceptional service.

Team Collaboration & Mentorship

  • Foster a collaborative team environment through mentorship, knowledge sharing, and acting as a resource for colleagues.
  • Participate in team activities, process‑improvement initiatives, and continuous‑learning sessions to elevate overall performance.
  • Provide constructive feedback and coaching to peers, contributing to a culture of growth and excellence.

Essential Qualifications

  • High School Diploma / GED or equivalent work experience.
  • Minimum of 1 year experience advocating for, assisting, or resolving issues on behalf of members or customers.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and ability to create correspondence, manage spreadsheets, and handle email/calendar tasks.
  • Ability to work the required schedule (40 hours/week, Monday‑Friday, 9:45 am – 6:15 pm CST) and occasional overtime as needed.
  • Must be 18 years of age or older.

Preferred Qualifications & Experience

  • 1 + year experience with arenaflex’s A4Me platform or at least 3 months with Quick Assist.
  • Background in claims processing, health‑care benefits, or related administrative functions.
  • Direct experience caring for children with special needs or working in a family‑focused health‑care environment.
  • Experience in service‑delivery roles such as social services, caregiving, hospitality, social work, sales, or non‑profit agencies.
  • Demonstrated ability to de‑escalate tense situations, employ high emotional intelligence, and translate complex terminology into plain language.
