JOB SUMMARY

The Billing Associate is responsible for the accurate and timely preparation, review, and processing of expert and client invoices. This role ensures invoices comply with contractual terms, client-specific billing guidelines, and internal policies. The Billing Associate works closely with internal stakeholders to resolve billing issues, maintain data accuracy, and support revenue cycle operations.

Requirements

ESSENTIAL DUTIES & RESPONSIBILITIES

  • Prepare, review, and process client and expert invoices in accordance with agreed-upon rates, and terms
  • Ensure compliance with client billing guidelines, contracts and company policies
  • Research, identify, and resolve billing discrepancies or rejections
  • Load invoices and accruals/estimates into electronic billing portal
  • Process retainer applications as needed
  • Create invoices for retainers as needed
  • Update client billing instructions as needed
  • Support month-end closing processes by meeting billing deadlines
  • Communicate with internal departments to clarify billable items and resolve issues
  • Respond to billing-related inquiries in a professional and timely manner
  • Other duties as needed

SKILLS & EXPERIENCE

  • Capable of working effectively under pressure while handling heavy workloads, multiple simultaneous projects, and time sensitive work constraints in a deadline driven environment
  • Demonstrates strong professional communication skills, both verbal and written
  • Must be proactive, organized, detail-oriented, and able to work collaboratively with staff at all levels
  • Experience with client specific billing requirements strongly preferred
  • Excels in the ability to comprehend and produce accurate analytical data

EDUCATION & TECHNICAL REQUIREMENTS

  • HS Diploma or Equivalency
  • Minimum of three (3) years of business office accounting experience
  • Proficiency in Microsoft Office (Word/Excel/Smartsheet) and ERP systems required
  • Excellent typing and 10-key skills
  • Sage Intacct experience a plus
  • Law/consulting firm accounting administration a plus

LOCATION

This position is 100% remote and supports east to west coast time zones
